Venue at Ruby’s – Packages, Deposits & Policies

Rental Packages & Pricing

All Day – 12 Hour Package

  • Balance after $500 deposit: $1,499

Flex – 6 Hour Package

  • $999 total

  • Balance after $500 deposit: $699

  • Additional hours: $189 each (non-refundable, subject to availability)

Deposits & Payments

  • $500 Reservation Deposit required at booking (non-refundable after 24 hours).

  • Remaining balance due 14 days (2 weeks) prior to event and is non-refundable once paid.

  • $249 Refundable Damage Deposit required at booking (returned within 14–21 business days if no damages, excessive cleaning, or policy violations).

  • $100 Late Fee applies for every 30 minutes beyond contracted end time.

Refund & Cancellation Policy

Deposits

  • Reservation deposit ($500) is non-refundable after 24 hours.

  • Damage deposit ($249) is refundable only if renter emails [thevenueatrubys@gmail.com] within 7 days after the event to request refund.

Cancellations

  • 90+ days before event → Refund of all payments made, minus $500 deposit.

  • 60–90 days before event → 50% refund of payments made (excluding $500 deposit & damage deposit).

  • Less than 60 days before event → No refunds.

Rescheduling

  • One reschedule allowed if requested 90+ days prior to event.

  • $150 rescheduling fee applies.

Venue-Initiated Cancellation (Force Majeure)

  • If Venue must cancel due to circumstances beyond our control, a full refund of all payments and deposits will be issued.

Venue Policies

Age & Responsibility

  • Renter must be 21+ years old and is responsible for all guests, vendors, and damages.

  • Venue cannot be subleased or transferred.

Capacity & Use

  • Maximum capacity: 150 guests.

  • Outdoor areas may be used (courtyard only with written approval).

  • Outdoor spaces must remain clean; no trash, liquids, or waste in landscaping/drains.

  • Children must be supervised at all times.

  • No pets (service animals permitted).

Noise & Ordinances

  • Outdoor amplified music ends by 9:00 PM (Fri–Sat) and 7:00 PM (Sun–Thurs).

  • Compliance with all town, state, and federal laws required.

Alcohol & Smoking

  • No smoking, vaping, or tobacco anywhere on the premises.

  • Alcohol permitted indoors only, served responsibly.

  • Licensed bartender required if liquor is served; police officer may be required.

Prohibited Items & Activities

  • No fireworks, sparklers, fire pits, smoke/fog machines, or open flames.

  • No cooking, grilling, or frying indoors/outdoors (kitchen is warming only).

  • No vehicles on grass, landscaping, or walkways.

  • No confetti, glitter, or similar décor unless pre-approved.

  • No tables/chairs outdoors without written approval.

Setup, Cleanup & Time Management

  • Setup and cleanup must occur within rental time.

  • Event must end, and all guests must depart, by contracted end time.

  • Venue must be returned clean: trash bagged/sealed, surfaces wiped, items removed.

  • Items left beyond 10 days may be discarded or donated.

  • Excessive mess or policy violations may result in loss of deposits.

Decorations & Wall Protection

  • No nails, tacks, tape, glue, or staples on walls/ceilings/furniture.

  • Lobby furniture cannot be moved.

  • All décor must be pre-approved and non-damaging.

Security & Doors

  • Venue may require security for certain events.

  • Venue is under video surveillance.

  • Entry doors must remain closed unless actively loading/unloading; no propping open.

Air Conditioning Policy

  • If a full A/C outage lasts 2+ hours and significantly disrupts your event, a 50% refund will be issued, provided the renter reports the issue during the event and allows venue staff to attempt repair.

Indemnification

  • Renter agrees to indemnify and hold harmless The Venue at Ruby’s from all claims, damages, or liabilities arising from event use.

Cleaning Policy
We kindly request that guests return the venue in the same condition as it was provided to them. We ask that all trash be bagged and placed in the dumpster located on our property. Surfaces must be wiped down, and all personal belongings removed before departure.

If the venue is not returned in the same clean condition it was received, and is deemed to be left “dirty,” the responsible guest will be subject to the loss of deposits and/or a $350 cleaning fee. This fee ensures our team can properly clean and restore the venue to its original state for the next guest.
